COMPANY KNOWLEDGE

Company Brain

Give your AI a reliable source of company knowledge you control.

AI can remember parts of your business. But is that knowledge organized, up to date, and under your company’s control?

Set up for one person: the one in your company who runs its AI. Setups for a whole team are coming later.

Illustration: glowing yellow lines link a document, an email, a database, a team, a cloud and a gear to a central graphite core marked with a brain, with papers filed on top.

What you get

What’s in your head (your prices, your policies, how you do things, and why you made past decisions) becomes reviewed business notes, kept in your company’s own folders rather than locked inside an AI app.

  • Reviewed notes, each with its source, an owner and a review date
  • Instructions that tell Claude how to work from those notes
  • Templates for new notes, with filled-in examples
  • Simple routines for keeping it current: a weekly review and a monthly health check

Today it’s built for Claude, with the notes in Obsidian, a free notes app, inside a cloud folder you already use.

What goes in it

  • Your prices, terms and policies
  • How you do each job, step by step
  • What your words and terms mean
  • Why you made the calls you made, dated, so nobody re-argues them
  • Who owns what
  • Optional: a folder for each ongoing client, with their history, open promises and follow-ups

What stays out: passwords, account and ID numbers, pay and personnel details, privileged legal advice, or anything you wouldn’t want an AI to read.

How it’s set up to work

Claude is given clear instructions for working from your notes. Instructions shape what it does; they don’t guarantee it. AI can still get things wrong, so check what it writes before you rely on it.

  • Answers questions about your business from your notes, and shows which note it used, so you can check it
  • Instructed to say “not written down yet” rather than guess, and to add the question to a list for you to fill in
  • Drafts emails and documents that match how you actually do things
  • Instructed to point out when two notes disagree, rather than quietly picking one
  • A monthly health check that you start, from your manual: notes due for review, contradictions, anything out of date
  • A reminders list Claude checks when you open a session. It doesn’t ring like an alarm, so anything that must happen on time also goes in your calendar

Three ways to get it

Currently offering a founding client promotion: 30% off, in exchange for a short review and permission to describe your project without anything that identifies you.

Do it yourself

$700

Founding price. Normally $1,000.

A ready-made kit, set up for your business. Simple step-by-step instructions walk you through installing it. Then Claude interviews you about how your business works and writes it all down for you to check.

  • The kit: folders, home page, instructions, note templates with examples
  • Setup instructions and a plain-language manual
  • Seven days of answers by email

A good place to start

Set it up together

$1,400

Founding price. Normally $2,000.

What this adds over Do it yourself: a 60–90 minute live session where we install it together, write your first real notes together, and get Claude answering its first real questions from them.

  • One live setup session by screen share
  • Your first real notes written together, and Claude’s first real questions answered from them
  • Everything in Do it yourself, tailored to your business in your own words

Done for you

$2,100

Founding price. Normally $3,000.

It arrives already filled in with your business. Then we install it together, and I check in with you through the following week.

  • A one-hour interview about how your business runs
  • Your first 15–20 topics written up for you to check, like your prices or your refund policy
  • Up to 100 pages of your existing documents brought in, the kind you’d hand a new hire
  • The live setup session, and a week of check-ins

More than 100 pages of documents? Extra pages are $25 for every 10. Your plan spells out exactly what’s included for you.

Your plan includes the schedule: when work starts and when your setup will be ready.

What you’ll need

  • A computer, Windows or Mac
  • Your own Claude account. Most setups need a paid plan; Claude Pro is $20 a month when billed monthly in the US
  • Obsidian, a free notes app
  • A cloud folder you already use, like Google Drive, OneDrive or Dropbox. That’s your backup

Built from experience

I work this way myself, at a much larger scale: more than 100,000 files organized, and a working library of notes, indexes and review routines that my AI tools work from. Your setup is built the same way, sized to your business.

Questions people ask

How is this different from ChatGPT, Copilot or Notion AI?

Tools such as ChatGPT, Copilot, and Notion AI can work with company information. This service focuses on organizing and maintaining the source knowledge: reviewed notes with clear owners and review dates, stored in files your company controls. Those files can be moved to another compatible AI tool, reducing dependence on one provider.

How much work is it to keep up?

About 15 minutes a week: glance at what Claude filed, approve it, and fix anything out of date. Once a month you start the health check, and Claude lists what needs attention. Claude does the writing; you do the judging.

Can my whole team use it?

What happens if we stop working together?

Your setup stays yours. The notes live in your own folders, under your own accounts, so you can keep using and updating them without me. You keep paying for your own subscriptions, like your Claude plan, and those tools change over time, so expect to keep the notes current and adjust the setup now and then.
